The order menu offers all functions required in connection with ordering, authorisation / revision and handling on the part of the service company/supplier as well as providing a detailed overview of all current and completed orders. Individual user groups (ordering party / authorising party / service company) are provided with different rights, functions and options within the procedures. The entire order procedure can be accessed at any time, making it transparent and easily traceable.

The scope of EServMan’s functions and the rights within the programme reflect the tasks of the respective user groups. The granting of rights follows the order procedure set out below:

  1. The ordering party (DVB) orders the desired product or service and passes the order on to the authorisation level.

  2. The authorising party / parties (BIM) authorises and releases the order. If required, it can be reviewed or cancelled alternatively.

  3. The service company (DL) receives the order, cancels or fulfils the order.

  4. Orders that have been fulfilled by the service company are released for invoicing by the authorising party.

  5. The service company invoices the order, thus completing the order procedure.


The reporting features offer an overview of all order procedures handled via EServMan. Depending on the user group and the status of the order, the individual overviews show different orders.

Upon request, the reports can be tailored to the customers’ specific needs.

Master Data

Master data serves to allocate orders to cost units, personnel and projects.

The data can be imported from external databases (customer-specific functions) or entered into EServMan manually. This is determined by the programme administrator in the system settings. Depending on the user group, master data can be modified or added.

Standard settings

Types of services, groups of services, services and assets can be defined in the standard settings. Moreover, there is the option to import asset data from external sources. The defaults are assigned to the respective orders. Changes and additions to the defaults are subject to certain user group authorisations and rights.

Several services form a group of services. Several groups of services are comprised in one type of services.
The system administrator is free to define the services, groups of services and types of services.

These functions serve for the administration of EServMan. With the exception of archival storage, they are exclusively accessible by programme administrators.

The interfaces are intended to facilitate importing large quantities of basic data or asset data sets. The former are not part of the standard programme and are implemented on the customer’s demand and according to his specifications.
